*Job Summary*


The Logistics Coordinator is responsible for ensuring seamless movement, tracking, and control of inventory across the supply chain network, including warehouses, TRCs, field offices, service centers, and end-user locations. The role is accountable for managing forward and reverse logistics operations, inventory allocation, shipment tracking, vendor coordination, documentation compliance, and logistics cost optimization.


The incumbent will serve as the central coordination point between internal stakeholders, warehouses, transport partners, field teams, and vendors to ensure timely deliveries, inventory availability, operational continuity, and accurate logistics reporting.


*Key Responsibilities*

Logistics Planning & Coordination

• Coordinate end-to-end movement of materials across the supply chain network.

• Plan and execute forward and reverse logistics activities.

• Arrange pickups, dispatches, deliveries, and returns based on business requirements.

• Monitor transportation feasibility and optimize shipment routing.

• Ensure timely movement of inventory between warehouses, field locations, service centers, and operational sites.

• Minimize shipment delays and proactively address transit risks.


Inventory Management & Control

• Monitor inventory movement across multiple locations.

• Coordinate replenishment requirements to avoid stock shortages.

• Ensure optimum inventory allocation based on operational demand.

• Track movement of critical assets and materials.

• Support inventory reconciliation and stock verification activities.

• Identify slow-moving, excess, damaged, or non-moving inventory and recommend corrective actions.


Reverse Logistics Management

• Coordinate retrieval and return of defective, damaged, or obsolete inventory.

• Manage call-back logistics for faulty equipment and assets.

• Ensure proper documentation and tracking of returned materials.

• Coordinate with service centers and warehouses for repair, replacement, or disposal activities.

• Monitor turnaround time for reverse logistics processes.


Shipment Tracking & Vendor Management

• Track shipment status and ensure visibility across all movements.

• Coordinate with transporters, courier partners, and logistics vendors.

• Resolve shipment-related issues including delays, losses, damages, and delivery failures.

• Ensure logistics vendors comply with agreed service levels.

• Follow up on pending deliveries and escalations until closure.


Documentation & Compliance

• Maintain logistics documentation, dispatch records, acknowledgements, and shipment trackers.

• Verify dockets, invoices, proof of delivery (POD), insurance documents, and transportation records.

• Ensure compliance with company policies and logistics procedures.

• Support internal and external audits by maintaining accurate records.

• Prevent incorrect billing due to duplicate, extra, or invalid dockets.


MIS & Reporting

• Prepare and circulate daily, weekly, and monthly logistics MIS reports.

• Monitor logistics KPIs including delivery timelines, inventory movement, and vendor performance.

• Generate reports related to stock movement, inventory ageing, transit inventory, and logistics costs.

• Provide management with actionable insights to improve supply chain efficiency.


Stakeholder Management

• Coordinate with warehouses, field operations teams, service centers, procurement teams, finance teams, vendors, transporters, and management.

• Act as the single point of contact for logistics-related operational issues.

• Ensure timely communication and updates to stakeholders.

• Support cross-functional teams in resolving supply chain challenges.

• Proficiency in MS Excel (VLOOKUP, Pivot Tables, Data Analysis preferred).

• ERP exposure preferred (SAP, Oracle, Tally, Zoho, or equivalent).

• Approve routine shipment scheduling within approved logistics processes.

• Recommend alternate logistics routes or transport modes to ensure timely delivery.

• Initiate corrective actions for inventory discrepancies and shipment exceptions.

• Recommend replenishment requirements based on stock availability and consumption trends.

• Validate logistics documentation prior to processing and billing.

• Raise concerns regarding inventory risks, stock ageing, and operational bottlenecks.
