Job Description
The Marketing Executive will primarily be responsible for preparing and submitting tender quotations, coordinating with railway customers and workshops, and supporting business development activities.
The role requires a combination of computer-based tendering work, customer coordination, and periodic field visits to railway workshops and customer premises.
Key Responsibilities1. Tendering & Quotation Management – Primary Responsibility
- Identify and review relevant tenders, enquiries, and procurement opportunities.
- Prepare quotations and tender submissions using computers and online portals.
- Study tender documents, technical specifications, BOQs, drawings, and commercial terms.
- Coordinate internally with purchase, production, and management teams to obtain pricing and technical inputs.
- Ensure timely submission of quotations, bids, and supporting documents.
- Maintain records of submitted quotations, tender status, and follow-ups.
2. Railway Customer Coordination & Field Visits
- Visit railway workshops, production units, and customer premises as required.
- Coordinate with railway officials, procurement personnel, and customer representatives.
- Follow up on pending enquiries, quotations, orders, and commercial matters.
- Support customer meetings, product discussions, and business development activities.
- Gather market intelligence regarding upcoming requirements, tenders, and procurement opportunities.
- Maintain professional relationships with existing and prospective customers.
3. Order Follow-up & Internal Coordination
- Coordinate with production, dispatch, purchase, and accounts teams regarding customer requirements.
- Follow up on order status, delivery schedules, and pending customer approvals.
- Communicate customer requirements and feedback to the relevant internal departments.
- Assist in maintaining customer records and sales reports.
4. Documentation & Administrative Support – Secondary Responsibility
- Prepare and compile inspection documents, inspection call letters, quality documents, and other customer-required paperwork.
- Assist in preparing dispatch-related and order-related documentation.
- Maintain organized records of tender submissions, customer correspondence, and inspection documents.
- Perform other marketing-related administrative activities as assigned.
- Required Qualifications & SkillsGraduate in any discipline; candidates with technical or commerce backgrounds preferred.
- 1–3 years of experience in marketing, tendering, sales coordination, or a related role.
- Railway industry experience, particularly with ICF, RCF, RDSO, railway workshops, or railway vendors, will be an advantage.
- Good working knowledge of MS Excel, MS Word, email, and online tendering portals.
- Ability to understand tender documents, technical specifications, and commercial quotations.
- Good communication, coordination, and follow-up skills.
- Willingness to travel to railway workshops and customer locations as required.
- Ability to manage multiple quotations and deadlines independently.
- Preferred Candidate ProfileFamiliarity with railway procurement procedures and tendering processes.
- Experience working with railway suppliers, ancillary manufacturers, or engineering companies.
- Comfortable with both office-based computer work and customer-facing field responsibilities.
- Proactive, organized, and persistent in following up on business opportunities.
- Key Performance Indicators (KPIs)Timely and accurate submission of tender quotations.
- Number of relevant enquiries and tenders processed.
- Follow-up effectiveness and conversion of enquiries into orders.
- Customer visit frequency and quality of customer coordination.
- Accuracy and completeness of tender and inspection documentation.
- Maintenance of updated tender, quotation, and customer records.
