E-Commerce Executive

Purpose of the Role

The SO Executive is responsible for timely and accurate creation of Sales Orders, item mapping and data validation and BOM creation in the system. The role also involves resolving order-related queries, processing of order changes and short closures in the system on timely manner and maintaining accurate daily MIS and documentation in compliance with established SOPs.

2. KEY RESPONSIBILITIES

2.1 Sales Order Creation & Accuracy

● Create and submit Sales Orders within defined timelines

upon receiving complete requirements and approvals from the Sales team.

● Ensure accuracy in school details, item codes, ISBNs,

quantities, academic year and delivery details while creating Sales order.

● Verify notebook calculations and stationery quantities

and other order specific requirements to ensure accuracy before creating

Sales Orders.

● Reduce the “Will Be Given” (WBG) percentage through

timely follow up with relevant stake holders.

2.2 Item Mapping & Data Validation

● Map books and other products against the correct

internal item codes, ISBNs, publisher details, and product specifications in

the system.

● Submit all unmatched items to the PO team via the

ticketing tool for item code creation on the same business day.

● Track pending item creation requests and coordinate

with the concerned teams to ensure timely resolution.

2.3 BOM & Magento Readiness

● Create BOMs for approved SOs after obtaining the

required school approvals.

● Ensure BOM accuracy for stalls, kiosk and online

sales as applicable.

● Upload accurate pricing details in the system before

the Sale Live Date.

● Conduct link demos for schools, and visiting schools

if required; complete season readiness activities on time.

2.4 Stakeholder Coordination & Issue Resolution

● Resolve or respond to order related queries from schools,

customer support and other related stake holders with in defined timelines.

● Communicate order fulfilment issues and BOM changes

to SCM, Procurement, Accounts and Sales teams.

2.5 Order Modification & Exception Management

● Process school strength changes, alternate title

requests and custom links for approval.

● Complete short-closure cases upon Sales confirmation;

● Obtain SO closure confirmation from the Sales Team

after confirmation of the sale end date, ensuring all SOs are closed within

the defined TAT with no open SOs pending

2.6 Reporting & Process Compliance

● Submit daily SO, order fulfilment and sale reports

accurately.

● Maintain attachment and documentation compliance for

all SO requests.
