ROLE TITLE: STRATEGIC OCCUPANCY PLANNER

Summary

To drive occupancy strategy development and implementation for med to high complexity site and campus locations across client's Regional portfolio, including managing the supply, capacity, demand, and vacancy in support of short term and long-term headcount projections. Within the geography, identify how much space is currently available, workplace strategy impact to overall demand, and what are projected space needs based on headcount forecast and business requirements by group.

This role seeks to optimize the global real estate portfolio through analyzing trends, recommending strategic actions and ensuring alignment with organizational goals. It will develop and maintain a governance model, fostering cross-functional collaboration, and driving continuous improvement.

Key Responsibilities:

• Analyze supply/demand data inputs to evaluate impacts of current and finance approved forecasted headcount and specialty space business requirements to incorporate into occupancy strategies
• Analyzes portfolio and identifies opportunities to right-size space for all businesses within the existing and committed portfolio including validation of additional space requirements
• Develops scenarios for migration stacking for medium to high complexity locations included with Portfolio Strategy Papers, Occupancy Plan of Record, and CRE initiatives
• Plans and manages allocations by site, city, campus, metro for current and future state based on finance approved headcount forecast
• Develops migration plans and sequencing of moves
• Incorporates occupancy strategy into long-term strategy documents to clearly articulate impacts to city, campus, site, and org-level allocations
• Identifies optimization opportunities at city, campus, and site level
• Regular engagement with Portfolio leaders to understand business requirements and customer insights to recommend occupancy strategy solution
• Develop and maintain comprehensive portfolio optimization strategies that align real estate assets with client’s business objectives and financial targets across regional markets
• Conduct portfolio-wide financial analysis including lease expiration schedules, occupancy cost benchmarking, and ROI assessments to identify consolidation, expansion, or divestment opportunities
• Lead strategic portfolio reviews with senior leadership to present data-driven recommendations on site rationalization, market entry/exit strategies, and capital allocation priorities
• Evaluate portfolio risks and opportunities including lease obligations, market conditions, and geographic footprint alignment with talent acquisition strategies
• Create multi-year portfolio roadmaps that integrate workplace strategy initiatives, cost optimization targets, and business growth projections
• Serve as the strategic liaison between Occupancy Planning and Project Management teams to ensure seamless translation of occupancy strategies into executable project plans
• Provide Project Management teams with detailed space requirements, phasing plans, and occupancy targets to inform project scope, budget, and timeline development
• Participate in project kick-off meetings and design charrettes to validate that project solutions align with approved occupancy strategies and portfolio objectives
• Monitor project delivery milestones and provide occupancy-related guidance on stacking plans, adjacency requirements, and phasing sequences throughout project execution
• Conduct post-occupancy reviews with Project Management to capture lessons learned and refine future occupancy planning methodologies
• Provide insight and recommendations to optimize the portfolio based on internal demand and trends, through rebalancing within the existing portfolio, repurposing, acquisitions, or dispositions​
• Evaluate the CRE portfolio strategy and determine best path to achieve optimal outcomes in alignment with goals​
• Work closely with Portfolio Managers as well as Strategy leads from a Center of Expertise perspective to establish and maintain a global governance model driving consistency amongst the regional portfolio teams.​
• Oversee the balancing of the supply and demand requirements – current and forecast –across business organizations, including identification of business risks and mitigation plans​
• Ensure strong channels of communication between Business Intelligence, Global Business

Qualification/Experience/level

Initially responsible for Aerocity locations, followed by APO locations, and subsequently Circle and Zonal Offices. The role requires the ability to evaluate and recommend market-leading space management tools to support occupancy planning activities. This includes close coordination with individual building teams and, at a later stage, Circle FMs to support data collection, validation, and system uploads.
