Job Description – GeM Vendor Management Executive/Manager

Job Title: GeM Vendor Management Executive

Department: Sales / Tendering / Government Business

Reporting To: Sales / Business Head

Job Summary

The GeM Vendor Management Executive is responsible for managing the organisation's activities on the Government e-Marketplace (GeM) portal. The role includes vendor registration, product catalogue management, bid participation, order processing, customer coordination, compliance, and maintaining excellent relationships with government buyers to ensure successful execution of orders. Similar responsibilities are reflected in GeM-related recruitment and procurement roles.

Key Responsibilities

• Register and maintain the company's seller profile on the GeM portal.
• Upload, update, and optimise product/service catalogues.
• Monitor daily GeM bids, tenders, reverse auctions, and BOQs.
• Analyse tender eligibility and prepare bid documentation.
• Submit quotations and bids within prescribed timelines.
• Coordinate with internal departments for pricing, technical specifications, and approvals.
• Process purchase orders received through the GeM portal.
• Coordinate dispatch, logistics, installation, and documentation.
• Track payment status and follow up with government buyers.
• Handle buyer queries, complaints, and post-order support.
• Ensure compliance with GeM policies, procurement guidelines, and statutory requirements.
• Maintain records of bids, orders, invoices, and performance reports.
• Monitor vendor ratings, service levels, and customer feedback.
• Generate MIS reports on bids, order conversion, revenue, and pending payments.
• Coordinate with finance, stores, and service teams for smooth execution.

Required Skills

• Hands-on experience with the GeM Portal.
• Knowledge of government procurement procedures.
• Tender preparation and bid management.
• Vendor relationship management.
• Documentation and compliance.
• Excellent negotiation and communication skills.
• Strong analytical and problem-solving abilities.
• Good command of MS Excel, Word, and ERP systems.
• Time management and multitasking.

Qualifications

• Bachelor's degree in commerce, business administration, engineering, or related field.
• Certification or training in GeM/e-Procurement is preferred.

Experience

• Executive: 2–4 years of experience in GeM Portal operations or government tendering.
• Senior Executive: 4–7 years of relevant experience with proven success in government procurement.
