Job Description - Purchase Executive

1The Purchase Executive is responsible for managing end-to-end procurement activities, ensuring timely, cost-effective, and quality supply of goods and services. This role involves coordinating with project engineers, vendors, and management to streamline purchasing processes, maintain accurate records, and support organizational operations.

Key Responsibilities

Material Requisition (MR) Management.

Collect MR from Project Engineer.

Verify against Client Purchase Order (PO) / Bill of Quantities (BOQ)

Check threshold quantities for compliance

Vendor & Quotation Management

Obtain rates from vendors and prepare comparative statements.

Negotiate pricing and terms to ensure cost-effectiveness.

Seek management approval for final vendor selection.

Purchase Order (PO) Processing

Raise PO after quotation approval.

Ensure timely delivery of materials and services as per PO terms.

Arrange on-time deliveries to respective sites.

Logistics & Documentation

Prepare supporting documents for material dispatch.

Maintain inward and outward stock registers

Ensure proper documentation for audit and compliance.

Supplier Relationship Management

Source reliable vendors for goods and services.

Build and sustain long-term supplier relationships.

Monitor vendor performance for quality and delivery timelines.

Strategic Procurement Planning

Align procurement strategies with organizational goals.

Ensure cost-effective practices without compromising quality.

Support respective units with timely procurement solutions.

Data & Record Management

Maintain purchase data in both soft and hard copies.

Ensure accuracy and accessibility of procurement records.

Skills & Competencies

Strong knowledge of procurement processes and vendor management.

Excellent negotiation and communication skills.

Ability to manage multiple procurement activities simultaneously.

Proficiency in maintaining stock registers and purchase documentation.

Strategic thinking with focus on cost optimization and timely delivery.

Educational & Professional Requirements

Bachelor's degree in Mechanical Engineering, Supply Chain Management, B Administration, or related field.

1-2 years of experience in procurement or purchase operations.

Experience in MS Excel
