Job PurposeTo manage the day-to-day activities of the store and dispatch department, including receiving, storage, inventory control, order preparation, documentation, and timely dispatch of finished goods while maintaining proper stock records and ensuring product quality and safety.

Key Responsibilities

1. Material Receiving

• Receive raw materials, packaging materials and finished goods as per approved documents.
• Verify quantity, product name, batch number and condition of materials.
• Coordinate with QC/Production for inspection and approval where required.
• Prepare and maintain Goods Receipt/Material Receipt records.

2. Inventory & Store Management

• Maintain accurate stock records for raw materials, packaging materials and finished goods.
• Ensure proper stacking, identification and labelling of materials.
• Follow FIFO/FEFO principles as applicable.
• Conduct regular physical stock verification.
• Report shortages, excesses, damages and discrepancies to the Store In-Charge.
• Maintain cleanliness and 5S in the store area.

3. Dispatch Operations

• Prepare finished goods for dispatch according to sales orders/invoices.
• Verify product, quantity, batch number and destination before loading.
• Ensure proper loading and safe handling of food products.
• Coordinate with transporters, drivers and the Sales/Accounts team.
• Ensure timely dispatch of customer orders.

4. Documentation

• Maintain GRN/MRN, stock register, issue slips, dispatch records and delivery documents.
• Prepare daily dispatch and stock reports.
• Update inventory in ERP/software or Excel.
• Maintain proper records of returns, damages and rejected materials.

5. Food Safety & Quality

• Ensure proper storage conditions for food products and packaging materials.
• Follow hygiene, food safety, pest-control and housekeeping requirements.
• Ensure damaged, expired or rejected products are properly identified and segregated.
• Follow company SOPs and applicable food safety requirements.

6. Coordination

• Coordinate with Production regarding finished goods availability.
• Coordinate with Sales for dispatch planning and customer requirements.
• Coordinate with Accounts for invoices and dispatch documentation.
• Coordinate with transporters for vehicle availability and delivery schedules.
• Daily ActivitiesCheck opening stock.
• Receive and issue materials as required.
• Update stock records.
• Prepare customer orders for dispatch.
• Verify quantity and batch details.
• Supervise loading.
• Update dispatch documents.
• Check store cleanliness and proper stacking.
• Submit daily stock/dispatch report.
• Required QualificationsGraduate / Diploma / 12th pass with relevant experience.
• 1–3 years of experience in store, warehouse or dispatch operations, preferably in FMCG/food manufacturing.
• Basic knowledge of MS Excel and inventory software/ERP.
• Knowledge of FIFO/FEFO and warehouse practices will be preferred.

Authority & AccountabilityThe Store & Dispatch Executive is responsible for maintaining accurate inventory, proper storage, correct documentation, and timely and accurate dispatch of company materials/products. Any stock discrepancy, damage, quality issue or dispatch error must be immediately reported to the reporting manager.

• Working ConditionsFull-time position at manufacturing/warehouse premises.
• May require extended working hours during high production or dispatch periods.
• Must follow company safety, hygiene, security and disciplinary policies.
