Dispatch Manager

We are looking for an experienced and responsible Dispatch Manager to manage our daily dispatch and logistics operations. The candidate will be responsible for planning and coordinating dispatches, managing the dispatch team, coordinating with the warehouse and transporters, and ensuring timely and accurate delivery of materials to customers.

Key Responsibilities

Plan and manage daily dispatch activities based on confirmed sales orders.

Coordinate with the Sales, Warehouse, Accounts and Transport teams for smooth dispatch operations.

Ensure the correct material, quantity and customer details are verified before dispatch.

Prepare and verify invoices, e-way bills, delivery challans, LR/transport documents and other dispatch-related documents.

Coordinate with transporters, drivers and logistics partners for timely vehicle arrangements.

Monitor loading of materials and ensure proper and safe loading.

Track dispatched materials and follow up with transporters until delivery.

Handle customer delivery-related queries and coordinate for resolution of delivery issues.

Maintain daily dispatch records and prepare dispatch reports.

Monitor pending orders and ensure timely dispatch.

Manage and allocate work to dispatch/warehouse staff.

Coordinate with the warehouse team regarding stock availability and material readiness.

Ensure proper documentation and filing of dispatch records.

Handle shortages, damages, wrong dispatches and delivery delays.

Maintain good coordination with transporters and negotiate/coordinate transportation requirements.

Ensure compliance with company dispatch procedures and safety requirements.

Provide regular updates to management regarding dispatch status, pending deliveries and transportation issues.

Required Skills

Good knowledge of dispatch and logistics operations.

Experience in handling transporters, drivers and delivery schedules.

Knowledge of GST invoices, e-way bills, LR and delivery challans.

Good knowledge of MS Excel and basic computer operations.

Strong coordination and communication skills.

Ability to manage a dispatch/warehouse team.

Good problem-solving and decision-making skills.

Ability to work under pressure and meet daily dispatch targets.

Good knowledge of local and outstation transportation is preferred.
