STORE KEEPER / WAREHOUSE SUPERVISORPM / RM / FG Store – Bakery Manufacturing Unit
Department: Stores & Warehouse
JOB PURPOSE
To independently manage the factory's Raw Material (RM), Packaging Material (PM), and Finished Goods (FG) stores, ensuring accurate stock, proper storage, FIFO/FEFO, timely material availability for production, and smooth dispatch of finished goods.
The Store Keeper / Warehouse Supervisor will be responsible for physical stock control and day-to-day warehouse discipline.
- KEY RESPONSIBILITIES1. Raw Material (RM) StoreReceive raw materials such as maida, sugar, fats/oils, milk powder, ingredients, etc.
- Verify quantity, batch/lot number, manufacturing date, expiry/best-before date and condition.
- Ensure materials are stored at their designated locations.
- Follow FIFO/FEFO wherever applicable.
- Issue raw materials to production only against proper requisition/issue slip.
- Record all inward, outward, returns and adjustments.
- Maintain minimum/maximum stock levels and inform management about shortages or upcoming requirements.
- Ensure damaged, expired or rejected materials are properly identified and segregated.
- 2. Packaging Material (PM) StoreMaintain stock of pouches, cartons, labels, tapes, films, boxes and other packaging materials.
- Issue packaging material to production against authorized requirement.
- Maintain SKU-wise and size-wise stock.
- Ensure old stock is consumed first.
- Prevent mix-up between similar-looking packaging materials.
- Maintain proper records of unused material returned from production.
- 3. Finished Goods (FG) StoreReceive finished goods from production with proper quantity and batch details.
- Arrange finished goods SKU-wise, batch-wise and date-wise.
- Strictly follow FIFO/FEFO.
- Ensure proper stacking and safe storage to prevent breakage/damage.
- Prepare goods for distributor/depot/outlet dispatch as per dispatch instructions.
- Verify physical quantity before loading.
- Maintain dispatch, return and damage records.
- Ensure no unauthorized movement of finished goods.
- 4. Stock ManagementMaintain accurate physical stock of RM + PM + FG.
- Conduct daily checks of critical/high-value/fast-moving items.
- Conduct regular physical stock verification.
- Immediately report any shortage, excess, damage, expiry or stock mismatch.
- Maintain proper stock registers/system entries.
- Coordinate with Purchase, Production, Dispatch and Accounts whenever required.
- Ensure every material movement has proper documentation.
- 5. Warehouse ManagementMaintain proper rack/bin/location-wise storage.
- Ensure every item has a clearly identified location.
- Maintain clean, organized and pest-free stores.
- Ensure materials are stored safely and protected from moisture, contamination and damage.
- Maintain proper aisle space and stacking height.
- Ensure rejected/damaged/expired goods are physically segregated and clearly marked.
- Prevent unauthorized persons from entering the store.
- 6. Production CoordinationCheck production requirements in advance.
- Ensure required RM and PM are available before production starts.
- Issue materials according to approved production requirements.
- Receive and account for production returns.
- Coordinate with Production Supervisor regarding shortages and urgent requirements.
- Highlight unusual consumption or wastage to management.
- 7. Dispatch CoordinationPrepare FG according to approved dispatch plan.
- Ensure correct SKU, batch, quantity and destination.
- Follow FIFO/FEFO during dispatch.
- Coordinate with dispatch staff/loaders for correct loading.
- Verify physical loading quantity before vehicle departure.
- Maintain records of returns, shortages and damages.
DAILY REPORTINGThe person should maintain/provide:
- RM stock status
- PM stock status
- FG stock status
- Material received
- Material issued to production
- Production returns
- FG received
- FG dispatched
- Damaged/rejected/expired stock
- Stock shortages/excess
- Critical low-stock items
- Any stock discrepancy
KEY CONTROLSThe Store Keeper must ensure:
NO MATERIAL MOVES WITHOUT DOCUMENTATION.
NO FG DISPATCHES WITHOUT PROPER VERIFICATION.
NO OLD STOCK IS LEFT BEHIND WHILE NEW STOCK IS ISSUED.
NO STOCK MISMATCH IS IGNORED.
