Job Description

Vamsa Care is seeking a dependable, energetic and execution-oriented professional to support the administration, day-to-day operational coordination and business development of its assigned specialty healthcare centre. The role is intended to support the day-to-day operations, administration and business development activities of the assigned Healing Hands Clinic centre as part of the Vamsa Care team.

The role combines centre administration, patient-service coordination, team and vendor coordination, financial/administrative follow-up, local outreach, referral-network development and performance reporting. Clinical decisions and statutory clinical responsibilities remain with appropriately qualified clinical personnel and the relevant clinic/management teams.


Key Responsibilities

1. Centre Administration & Daily Operations

·       Coordinate the day-to-day administrative functioning and operational readiness of the assigned centre.

·       Coordinate with doctors, nursing/front-office teams, support staff, vendors and relevant Healing Hands teams.

·       Ensure opening and closing checklists, cleanliness, ambience, patient comfort and facility readiness are monitored.

·       Track maintenance issues, consumables, routine supplies and vendor/service requirements and ensure timely follow-up.

·       Support staff attendance, shift coordination, discipline, grooming and adherence to centre processes.

·       Maintain action trackers and escalate unresolved operational issues to Vamsa Care management and/or the appropriate Healing Hands team.

2. Patient Service & Experience Coordination

·       Support smooth patient flow from enquiry and appointment through consultation, procedure/admission and follow-up.

·       Monitor waiting time, patient guidance, service quality and front-office coordination.

·       Support resolution of non-clinical patient concerns and escalate clinical or significant service matters appropriately.

·       Coordinate patient feedback, post-treatment follow-up and genuine review collection in accordance with applicable policies and patient consent requirements.

·       Help maintain a professional, respectful and patient-focused environment.

3. Business Development & New Patient Acquisition

·       Plan and execute approved local business-development activities such as health camps, apartment/community outreach, corporate engagement, awareness programmes and local partnerships.

·       Develop a structured local outreach calendar and document each activity, reach, leads and outcomes.

·       Identify opportunities for partnerships with nearby healthcare providers, diagnostic centres, pharmacies, gyms, wellness centres and community organisations, subject to management approval.

·       Work with Vamsa Care management and the digital marketing team to support local patient acquisition initiatives.

·       Track enquiries, consultations, procedures and collections arising from business-development activities.

4. Referral Network Coordination

·       Map relevant General Physicians and other potential referral doctors/healthcare partners in the centre catchment area.

·       Plan and conduct regular professional visits and relationship-building activities with referral sources.

·       Maintain accurate referral-source records, referral volumes and follow-up status.

·       Coordinate approved referral engagement programmes and ensure any commercial arrangements are handled only as formally approved by management and in compliance with applicable rules.

·       Identify high-potential referral relationships and report progress through the weekly MIS.

5. Digital & Local Marketing Coordination

·       Coordinate with the digital marketing team for centre-specific campaigns, offers, educational content and local visibility.

·       Coordinate doctor educational-video schedules and patient testimonials only with appropriate consent and approval.

·       Support maintenance of accurate centre information on Google Business Profile and relevant online listings.

·       Monitor online patient feedback and ensure responses/escalations are coordinated within agreed timelines.

·       Provide photographs, activity updates and local content inputs to the digital team.

6. Revenue, Billing & Finance Coordination

·       Review and track daily centre revenue/collection reports and flag discrepancies for resolution.

·       Maintain follow-up trackers for outstanding patient dues in coordination with the billing/accounts teams.

·       Verify and organise vendor invoices and supporting documents before forwarding them for approval/payment processing.

·       Maintain records of routine centre expenses, collections and vendor-payment status.

·       Coordinate salary/attendance inputs and other administrative information required by Vamsa Care and its Chartered Accountant/accounting team.

·       Support monthly P&L and centre-performance reviews by providing accurate operational data. Final accounting, statutory filings and payment approvals remain with authorised persons.

7. Systems, Records & Compliance Coordination

·       Ensure required operational information is updated in the centre's designated systems and trackers in a timely manner.

·       Maintain administrative records, vendor documentation, licences/renewal trackers and other centre-level documentation assigned to the role.

·       Coordinate with Healing Hands and Vamsa Care teams for documentation required for applicable licences, quality standards, insurance/TPA processes and audits.

·       Immediately escalate system, documentation or compliance gaps to the appropriate responsible person.

·       Do not independently undertake clinical, legal, accounting or statutory responsibilities requiring professional authorisation.

8. Vendor, Diagnostic & External Coordination

·       Coordinate routine vendors and approved diagnostic/lab partners required for centre operations.

·       Track service quality, turnaround time, pricing and operational issues and report exceptions.

·       Maintain an updated list of approved vendors/service providers and support procurement coordination as authorised.

·       Support management in identifying cost-saving and service-improvement opportunities.

9. Team Coordination & Reporting

·       Conduct short operational coordination meetings with centre staff as required.

·       Maintain a weekly centre dashboard covering enquiries, consultations, procedures, referrals, marketing/BD activity, collections, outstanding issues and operational priorities.

·       Follow up assigned actions to closure and provide concise updates to Vamsa Care management.

·       Support recruitment, onboarding and basic HR/administrative coordination for Vamsa Care-assigned staff where required.

Key Performance Indicators·       Operational readiness and timely closure of centre issues.

·       Patient-service quality and effective handling/escalation of non-clinical concerns.

·       Consistency of local outreach and referral-network activity.

·       Growth in qualified enquiries, consultations and procedures attributable to local business-development activity.

·       Accuracy and timeliness of revenue, collection, expense and operational reporting.

·       Staff coordination, attendance discipline and administrative compliance.

·       Quality and timeliness of weekly MIS and action closure.

·       Effective coordination with Healing Hands, Vamsa Care, digital marketing, finance/accounting and external partners.

Preferred Candidate Profile·       MBA in HR, Operations, Marketing, Healthcare Management or a related discipline preferred.

·       Experience in HR operations, administration, business operations, customer service, healthcare operations or business development is desirable.

·       Strong coordination, follow-up, documentation and people-management skills.

·       Comfortable with local field visits, relationship building and business-development activity.

·       Good working knowledge of Excel/Google Sheets, email, presentations and basic MIS reporting.

·       High integrity, confidentiality and ownership mindset.

·       Good communication in English and Kannada; Hindi is advantageous.

·       Prior healthcare experience is desirable but not mandatory for a strong operations candidate willing to learn.


Role Boundaries: This is a Vamsa Care employment role primarily supporting the operations and business development activities of the assigned Healing Hands Clinic centre. The employee will work closely with management and relevant teams to ensure smooth day-to-day operations, effective coordination and business growth

Growth OpportunityBased on performance and business growth, the role may develop into broader responsibilities in centre management, business operations, multi-centre coordination, people management and business-development leadership within Vamsa Care.

CompensationCompensation will be offered by Vamsa Care and may include fixed salary and performance-linked incentives. Detailed compensation, benefits, probation/review terms and employment conditions will be specified separately in the offer/appointment letter.
